FAQ

Can you design labels and boxes?
Yes — dieline support and print management included as options.

What about Arabic / Cyrillic packaging?
Multilingual artwork is standard for our export clients.

Do you ship samples internationally?
Yes — courier with MSDS where required.

Payment terms?
Typically deposit + balance before shipment; defined in PI.

How to start?
RFQ with target SKU count, volumes, and markets.

Can I start with 500 pcs and move to a custom formula later without changing packaging?
Yes — the hybrid path is common. Bottle and carton stay identical; only the juice and regulatory file change. Plan reformulation one season ahead so stability testing finishes before the packaging reorder cycle.

What stability and shelf-life documentation do you provide?
Standard programs include accelerated and real-time stability data for the formula–packaging combination, plus a recommended PAO (period after opening) where applicable. Market-specific shelf-life claims are validated against this data before printing.

Who owns a custom-developed formula?
Custom formulations are assigned per contract — exclusivity terms, territory scope, and the conditions under which the formula transfers to you are defined before lab work starts.

Can perfume be consolidated with other product categories in one shipment?
Yes — multi-category consolidation is standard across WorldwideTradeX supply lines, with fragrance moved under the applicable dangerous-goods rules for alcohol-based products.

Catalog vs Custom Formulation

Private-label launches take one of two routes, and the right choice depends on budget, speed and brand ambition:

Catalog selectionCustom formulation
Speed to market4-8 weeks4-8 months
Formulation costNone (library included)Lab development billed or amortized
ExclusivityNone (library shared)Owned per contract
Best forFirst launch, retail chains, promoDifferentiated brand, premium segment

Many brands start with a catalog juice in premium packaging, validate the market, then move hero SKUs to custom formulations in season two — keeping the bottle while upgrading the juice.

Deep-Dive: Unit Economics of Both Routes

A catalog formulation in a stock bottle with a decorated carton keeps upfront risk low: the tooling budget is essentially zero, so the entire investment sits in sellable stock. At 500–1,000 pcs, a realistic landed-cost structure is roughly 40–50% juice and filling, 30–35% packaging, and the remainder logistics and QC. Custom formulation reverses the logic: development, stability testing and regulatory file work are paid before the first bottle exists, which is why we recommend it once a brand has proven sell-through on at least one hero SKU. The hybrid path — a library base with a custom olfactive twist such as adjusted top notes or a co-developed accord — sits between the two and is the most common second-season move for growing brands.

Packaging Customization Ladder

Packaging is where private label differentiates. From fastest/cheapest to most distinctive:

  1. Stock bottle + stock cap, printed label — days, minimal MOQ

  2. Stock bottle + colored cap (pantone-matched) — 2-4 weeks

  3. Stock bottle + custom collar/cap combination — 4-8 weeks

  4. Fully custom glass (own mold) — 10-16 weeks + mold cost; MOQ typically 5,000-10,000 pcs
Secondary packaging (carton finish, inserts, cellos) is fully customizable at every level and is the cheapest premium signal available.

Decoration techniques layer on top of each tier: silk-screen printing and hot stamping work on stock glass from low volumes; lacquering and metallization become economical above roughly 3,000 pcs per color; and a full custom mold should be budgeted as a capital item amortized across at least two production runs. Caps and collars carry disproportionate visual weight — a magnetic metal cap on a stock bottle often reads as fully custom at retail.

Brand Launch Checklist

  • Target market regulatory review (allergen labeling, CLP where applicable)
  • Trademark clearance in sales markets
  • IFRA conformity + CoA + MSDS from supplier per batch
  • Barcode/GTIN assignment per SKU
  • Sample retention agreement (golden sample stored both sides)
  • Retail price architecture set against landed cost, including duty
WorldwideTradeX programs bundle these steps into the project plan — brands see one timeline with sign-off gates rather than chasing separate vendors.

Brand Launch Ladder: From Test Batch to Scale

Most successful private-label fragrance programs grow in stages rather than launching wide:

  1. Validation (500–1,000 pcs, 1–2 SKUs): Catalog formulation, stock glass, premium carton. Goal: prove sell-through and price point with minimal upfront exposure. Timeline 4–8 weeks.

  2. Growth (2,000–5,000 pcs, 3–5 SKUs): Add flankers around the best seller, introduce pantone-matched caps or collars, and refine artwork based on retail feedback. Begin planning custom development for the hero SKU if reorder velocity justifies it.

  3. Scale (5,000+ pcs per run): Custom formulation for hero SKUs, custom components where they add shelf presence, multi-market regulatory files, and framework pricing agreed against annual volumes.
Each stage reuses what already works — bottle, carton architecture, naming system — so brand recognition compounds instead of restarting each season. Moving up the ladder is a planning decision made against sell-through data, not a speculative spend.

Regulatory Checklist by Market

Requirements differ per destination; the checklist below covers the points buyers most often need to arrange. We supply the manufacturer-side documents; the brand or its importer of record handles market registration.

  • EU: Product Information File (PIF), safety assessment by a qualified assessor, CPNP notification before placement, an EU-established Responsible Person, and allergen declaration per the cosmetics regulation (including the expanded allergen list being phased in).

  • UK: SCPN notification with a UK Responsible Person, running parallel to the EU regime post-Brexit.

  • GCC: Product registration with the relevant authority (for example SFDA in Saudi Arabia, and the applicable scheme in the UAE), Arabic labeling, and conformity documents per shipment.

  • US: MoCRA facility registration and product listing, with fragrance allergen labeling rules phasing in; state-level rules such as California Prop 65 reviewed where relevant.

  • All markets: IFRA conformity statement per formula, batch Certificate of Analysis, SDS for transport, and GTIN/barcodes per SKU.
Registration timelines range from days (CPNP/SCPN) to several weeks or more in parts of the GCC, so registration planning should run in parallel with production — not after it.
